GUIDE Cowork 101
Slide 1 of 43
Module 1 of 9

Written version

A step-by-step guide to agentic AI — everything you need to know to start using Cowork effectively, from first prompt to full automation.

What is Cowork

What is Cowork & How Agents Work

Build the right mental model before you start. The most important module.

What Problem Does Cowork Solve?

The Old Way

  • Claude.ai answers questions, but can’t act on your files
  • You copy-paste between tools all day
  • Documents take hours to format properly
  • App integrations need expensive developers
  • Recurring tasks eat time you don’t have

With Cowork

  • Claude takes real action, on your files, in your apps
  • One prompt drives multi-step, multi-tool workflows
  • Professional documents in seconds with built-in skills
  • 150+ app connectors, zero code required
  • Set automations once, they run on your schedule

What is Cowork?

Cowork is Anthropic’s agentic desktop tool, built for knowledge workers who don’t write code. It gives Claude access to your files, apps, and automations from within the Claude Desktop app.

  • Agentic AI Claude plans and executes multi-step tasks autonomously. It works until the task is done — not just until it finishes typing.
  • File Access Read, write, and organise files in any folder you choose. Your files stay on your device — nothing leaves your computer.
  • App Integrations Connect 150+ tools via MCP connectors: Slack, Asana, Google Drive, Gmail, and many more. Zero code required.
  • Automation Schedule recurring tasks. Set it once and Cowork runs your automated workflows daily, weekly, or on any cadence you choose.

How the Agent Loop Works

Every time you give Cowork a task, this loop runs automatically: step by step.

  1. Perceive Claude reads your prompt, loaded skills, global instructions, and any files or apps you’ve granted access to.
  2. Plan It builds a step-by-step todo list — the plan you see in the interface. This is your chance to review before anything happens.
  3. Act It executes one tool at a time: reads files, runs code in the VM, calls app connectors, and writes outputs.
  4. Observe It evaluates the result of each action. If something is wrong or unexpected, it adjusts and tries a different approach.
  5. Repeat It loops through remaining todo items until every step is complete, then reports back with a summary and file links.

Key insight: Each Cowork session starts fresh. There is no automatic memory of previous sessions — use Global Instructions to give Cowork persistent context.

The Interface Tour

Learn what every panel does before your first task.

  • Chat Input Where you type your task. Be specific, include what, where, format, and what “done” looks like.
  • Todo List Widget Cowork’s step-by-step plan before acting. Always read it before saying yes, catch errors early.
  • Outputs Folder Where all files Cowork creates are saved. Files persist here even after the session ends.
  • Connector Sidebar Your connected apps: Slack, Asana, Google Drive. Cowork uses these to act across your tools.
  • Skills Panel Active skills that give Claude specialist expertise for specific tasks like Word docs or presentations.
  • Scheduled Tasks View, create, and manage automated recurring tasks that run on a schedule you set.

Prompting for Action

Talking to Cowork (Prompting for Action)

The highest-leverage module: Cowork acts on your words, so specificity is everything.

The CREATE Framework: Applied to Cowork

MyZone’s proven prompting methodology, adapted for agentic tasks.

  • Context Provide background so Cowork understands your situation. Our AI Agents Workshop covers advanced prompting techniques.
“I’m preparing for our Q1 leadership review. Performance data is in Asana and reports live in Google Drive.”
  • Role Tell Cowork what expert lens to apply.
“Act as a business analyst specialising in executive performance reporting.”
  • Example Show a sample format, tone, or structure.
“Format it like last month’s summary — title, 3 KPIs, 1 insight paragraph, 1 trend chart.”
  • Ask Invite Cowork to ask clarifying questions before acting.
“Before you start, ask me any questions one by one to get all the context you need.”
  • Task Describe the exact output you want created.
“Create a 1-page Word document with Q1 results and save it to my Reports folder.”
  • Enhance Iterate and refine based on the first output.
“Good start — now add a comparison to Q4 and make the KPI numbers 20% larger.”

Prompt Patterns That Work

These reusable patterns cover the most common Cowork tasks. Copy, adapt, and make them your own.

  • Task Delegation “Create a project status report from the Asana tasks in [project]. Include completed, in-progress, and blocked items. Save as a Word doc.”
  • Document Creation “Draft a client proposal for [project]. Use a professional tone, include scope, timeline, and pricing. Save to my Proposals folder.”
  • Data Analysis “Analyse the sales data in sales-q1.xlsx. Summarise top 5 products by revenue, identify trends, and create a chart.”
  • Scheduling “Every Monday at 9am, pull my Asana tasks due this week and send a summary to #team-updates in Slack.”
  • Email Drafting “Draft a follow-up email to [client] thanking them for the meeting. Reference the 3 action items we discussed. Professional but warm tone.”
  • File Organisation “Organise all files in my Downloads folder: move PDFs to Documents, images to Photos, and delete anything older than 90 days.”

Vague vs Specific Prompts

Vague (Weak Results)

  • Make me a report
  • Clean up my files
  • Send a message to the team
  • Analyse this data
  • Write something for the client
  • Set up an automation

Specific (Strong Results)

  • Create a 1-page Word report summarising Q1 sales by region, with a bar chart, and save it to my Reports folder
  • Move all PDFs from Downloads to Documents/Invoices and rename them with the date prefix YYYY-MM-DD
  • Post a Slack message to #marketing with this week’s campaign metrics from the Google Sheet in my Drive
  • Analyse revenue-2024.xlsx: calculate month-over-month growth, flag any month with >10% decline, and output a summary table
  • Draft a professional proposal email to Acme Corp referencing our 15 March call and the 3 deliverables we agreed on
  • Every Friday at 4pm, pull all completed Asana tasks this week and post a summary to #wins in Slack

Your First Cowork Task

Follow these steps to complete your first real task with Cowork. Start simple, build confidence.

  1. Pick a Simple Task Choose something low-stakes: summarise a document, organise a folder, or draft an email. Don’t start with complex multi-app workflows.
  2. Write a Specific Prompt Use the CREATE framework. Include what you want, where the inputs are, what format the output should be, and what “done” looks like.
  3. Review the Todo List Before Cowork acts, it shows you its plan. Read every step. If something looks wrong, say so — it’s much easier to correct the plan than undo the work.
  4. Let It Run Approve the plan and let Cowork execute. Watch it work through each step. You’ll see file reads, writes, and tool calls in real time.
  5. Review and Iterate Check the output. If it’s 80% right, tell Cowork what to change: “Great, but make the title larger and add a summary paragraph at the top.” Iteration is normal.

Pro tip: Save your best prompts somewhere. Over time, you’ll build a personal library of reliable task templates.

Prompt Quality Checklist

Files & Folders

Working with Files & Folders

Grant access, read, create, organise — full file management, zero code.

Granting File Access

Cowork can only access folders you explicitly allow. Here’s how to set it up safely.

  1. Open Settings In Claude Desktop, go to Settings → Cowork → File Access. This is where you control which folders Cowork can see.
  2. Add a Folder Click “Add Folder” and select the directory you want Cowork to access. Start with one working folder like Documents or a specific project folder.
  3. Set Permissions Choose read-only or read-write access. Use read-only for reference folders and read-write for folders where Cowork should create or modify files.
  4. Verify Access In your next session, ask Cowork: “List all files in my [folder name] directory.” If it can see them, you’re set up correctly.

Start narrow: grant access to one project folder first. You can always expand later. Never grant access to your entire home directory.

What Cowork Can Do With Files

Once you’ve granted folder access, Cowork becomes your file assistant. Here’s the full range of file operations available.

  • Read & Summarise Open any text file, PDF, spreadsheet, or document and extract key information, summaries, or specific data points.
  • Write & Create Generate new documents from scratch: reports, proposals, emails, meeting notes, and more — in any format you need.
  • Organise & Rename Sort files into folders, rename with consistent conventions (like date prefixes), and clean up messy directory structures.
  • Format & Convert Reformat documents, convert between file types (e.g., CSV to formatted Excel), and apply consistent styling.
  • Search & Find Search across all accessible files for specific content, keywords, or patterns — faster than manual browsing.
  • Merge & Combine Combine multiple files into one: merge CSVs, consolidate meeting notes, or compile research from several sources.

File Scope: What’s Accessible vs What’s Not

Accessible

  • Folders you’ve explicitly granted in Settings
  • Files within granted sub-directories
  • Text files, PDFs, spreadsheets, images
  • Files on your local machine
  • Cloud-synced folders (if locally available, e.g., Google Drive for Desktop)

Not Accessible

  • Folders you haven’t granted access to
  • System files and application data
  • Browser tabs or clipboard content
  • Files on external drives (unless mounted and granted)
  • Cloud files without local sync (e.g., Google Docs in browser only)

Supported File Types and Actions

File Workflow: A Real Example

Here’s a complete file workflow from start to finish — a common task you can try right now.

  1. Prompt “In my Projects/Acme folder, find all meeting notes from March. Summarise each one into 3 bullet points and compile into a single Word doc called March-Meetings-Summary.docx.”
  2. Cowork Reads Cowork scans the folder, identifies 6 meeting note files, and reads each one to extract the key points.
  3. Cowork Processes It summarises each file into 3 concise bullet points, then organises them chronologically with date headers.
  4. Cowork Writes It creates a polished Word document with proper formatting: title, date sections, bullet summaries, and a footer.
  5. You Review The file appears in your Projects/Acme folder. Open it, check the summaries, and ask Cowork to adjust anything that’s off.

This entire workflow takes about 60 seconds. Doing it manually would take 20–30 minutes across 6 files.

Skills Deep Dive

Skills Deep Dive

Extend Cowork with specialist capabilities for any workflow.

What Are Skills?

Skills are modular capabilities you can enable in Cowork. Each skill gives Claude specialist expertise for a specific type of task — like hiring a temporary expert.

  • Document Skills Create professional Word documents, Excel spreadsheets, and PDF reports with proper formatting, headers, and branding.
  • Presentation Skills Build PowerPoint slide decks from scratch with layouts, charts, and speaker notes — ready for client meetings.
  • Communication Skills Draft emails, Slack messages, and client communications with appropriate tone, structure, and call-to-action.
  • Data Analysis Skills Process spreadsheets, calculate metrics, generate charts, identify trends, and produce visual data summaries.
  • Design Skills Create social media graphics, simple diagrams, flowcharts, and visual assets for presentations and documents.
  • Workflow Skills Manage multi-step processes like onboarding checklists, content calendars, project setup templates, and SOPs.

How to Enable and Use Skills

Skills are available in your Cowork settings. Enable the ones you need, then reference them naturally in your prompts.

  1. Browse Available Skills Go to Settings → Cowork → Skills. Browse the library of available skills organised by category: Documents, Data, Communication, and more.
  2. Enable Skills You Need Toggle on the skills relevant to your work. Most users start with Document Creation, Spreadsheet Analysis, and Email Drafting.
  3. Use Skills Naturally Just describe what you want. Cowork automatically activates the right skill: “Create a Word report” triggers document skills, “Analyse this CSV” triggers data skills.
  4. Combine Multiple Skills Skills work together. One prompt can trigger several: “Analyse the Q1 data in my spreadsheet, create a summary chart, and put it all in a PowerPoint deck.”
  5. Customise with Global Instructions Add skill-specific preferences in your Global Instructions: “Always use our company template for Word docs” or “Default chart style: minimal with blue accent.”

You don’t need to memorise skill names. Describe the task naturally and Cowork selects the right skill automatically.

With Skills vs Without Skills

Without Skills

  • Claude generates plain text output only
  • No formatted documents — just raw content
  • Charts described in words, not visualised
  • Manual copy-paste into Word, Excel, PowerPoint
  • Each tool requires separate manual effort
  • Output needs heavy reformatting before use

With Skills Enabled

  • Cowork creates real .docx, .xlsx, .pptx files
  • Professional formatting, headers, and styling built in
  • Actual charts and visuals generated automatically
  • Files saved directly to your chosen folder
  • Multiple tools used seamlessly in one workflow
  • Output is ready to send or present immediately

Connecting Your First App

App integrations are configured through MCP connectors in Claude Desktop. Here’s how to connect your first one.

  1. Open Connector Settings In Claude Desktop, go to Settings → Cowork → Integrations. You’ll see a list of available MCP connectors.
  2. Select an App Choose the app you want to connect. We recommend starting with Slack or Google Drive — they’re the most commonly used.
  3. Authenticate Follow the OAuth flow to grant Cowork permission. You’ll be redirected to the app’s login page to approve access.
  4. Test the Connection Back in Cowork, try a simple task: “List my recent Slack messages in #general” or “Show me the files in my Google Drive root folder.”
  5. Start Using It Once confirmed, use the integration naturally in your prompts. Cowork knows which connector to call based on your task description.

Each app connection is granted minimal permissions — only what’s needed for the tasks you request. You can revoke access at any time from Settings.

Manual Workflow vs Cowork-Connected Workflow

Automations

Automations

Set it once, Cowork runs it on your schedule — daily, weekly, or custom. See real examples in our AI agents directory.

What Can Be Automated?

Any repeating task you do more than once a week is a candidate for automation. Here are the most common examples.

  • Weekly Reports Every Friday, pull data from your tools, compile a status report, and send it to your team — automatically.
  • Inbox Processing Every morning, scan your email for action items, create Asana tasks for follow-ups, and flag urgent messages in Slack.
  • Meeting Prep 30 minutes before each meeting, gather relevant docs, recent updates, and attendee context into a briefing note.
  • Deadline Reminders Daily check for tasks due within 48 hours. Send reminders to task owners via Slack with direct links to their assignments.
  • File Cleanup Weekly scan of your Downloads folder: archive old files, rename with date conventions, and delete duplicates.
  • Content Distribution When a new blog post is published, automatically share it to Slack, draft a LinkedIn post, and update your content tracker.

Creating Your First Automation

Automations are recurring Cowork tasks that run on a schedule without you needing to be present.

  1. Identify a Repeating Task Pick something you do at least weekly: a status update, file cleanup, data pull, or team notification. Start with a simple, well-defined task.
  2. Test It Manually First Run the task as a normal Cowork prompt. Make sure it works perfectly as a one-off before scheduling it.
  3. Set the Schedule In Cowork, use the scheduling feature to set when the task should run: daily, weekly, specific days, or custom intervals.
  4. Define the Prompt Write the exact prompt Cowork will execute each time. Be very specific — automated tasks can’t ask you clarifying questions mid-run.
  5. Monitor the First Few Runs Check the outputs of the first 2–3 automated runs. Refine the prompt if needed, then let it run hands-free.

Start with one automation. Get it running reliably before adding more. A well-tuned single automation saves more time than five unreliable ones.

One-Off Tasks vs Automated Workflows

One-Off Tasks

  • You write the prompt each time
  • Runs once, then done
  • You must remember to do it
  • Slight variations each time
  • Good for ad-hoc or unique requests
  • Requires your presence to initiate

Automated Workflows

  • Prompt is saved and reused automatically
  • Runs on a recurring schedule
  • Cowork remembers for you
  • Consistent output every time
  • Perfect for repeating operational tasks
  • Runs in the background — you review results later

Security & Privacy

Security & Privacy

Your files, your control. How Cowork keeps your data safe.

Security Principles

Cowork is built with privacy-first design. Here are the core principles that protect your data at every step.

  • Permission-Based Access Cowork can only access folders and apps you explicitly grant. No silent background access, no fishing through your file system.
  • Encrypted Connections All data between Claude Desktop and Anthropic’s servers is encrypted in transit using TLS. Your files never travel unprotected.
  • No Training on Your Data Anthropic does not use your Cowork conversations, files, or outputs to train AI models. Your business data stays yours.
  • Local-First Processing File operations happen on your machine. Cowork reads and writes to your local folders — files don’t get uploaded to the cloud unnecessarily.
  • Transparent Actions Every action Cowork takes is visible in the todo list and activity log. Nothing happens silently — you see every file read, write, and API call.
  • Revocable Access You can remove folder access or disconnect app integrations at any time from Settings. Changes take effect immediately.

Cloud AI vs Cowork: Data Handling

Typical Cloud AI Tools

  • Files uploaded to remote servers for processing
  • Data may be stored for model improvement
  • Limited visibility into what happens with your data
  • Broad permissions requested upfront
  • Difficult to revoke access after granting
  • Conversation data often retained indefinitely

Cowork

  • Files processed locally on your machine
  • No data used for model training
  • Full transparency: every action logged and visible
  • Granular, per-folder and per-app permissions
  • Instant revocation from Settings at any time
  • Session data handled per Anthropic’s privacy policy

Best Practices for Secure Usage

Follow these guidelines to get the most out of Cowork while keeping your data safe.

  1. Grant Minimum Necessary Access Only share the folders Cowork actually needs. Don’t grant access to your entire Documents folder if you only need it for one project.
  2. Use Read-Only Where Possible If Cowork only needs to reference files (not modify them), grant read-only access. This prevents accidental overwrites.
  3. Review the Todo List Before Approving Always read Cowork’s planned actions before saying yes. If a step looks unexpected — like deleting files you didn’t ask about — stop and clarify.
  4. Avoid Sharing Sensitive Credentials in Prompts Don’t paste passwords, API keys, or secrets directly into your prompts. Use your app’s built-in OAuth integration instead.
  5. Audit Connected Apps Periodically Every month, review your connected integrations in Settings. Disconnect any apps you’re no longer using to minimise your access surface.

Think of Cowork like a trusted assistant with a keycard. You decide which doors it can open, and you can revoke the keycard at any time.

Common Security Questions

Answers to the questions we hear most often about Cowork security and data handling.

  • Can Cowork see all my files? No. Only folders you explicitly grant in Settings. Cowork has zero access to anything you haven’t approved.
  • Is my data used to train AI? No. Anthropic does not use your Cowork sessions, files, or outputs for model training. This is stated in their privacy policy.
  • What if I share something sensitive? Treat Cowork like any business tool. Use OAuth for app connections, avoid pasting credentials, and use read-only access for sensitive folders.
  • Can I use Cowork with client data? Yes, with appropriate caution. Review Anthropic’s privacy terms, use minimal permissions, and follow your organisation’s data handling policies.

“What’s Next”

What’s Next

You’ve got the fundamentals — here’s how to keep growing.

Level Up Your Cowork Usage

You know the basics. Here are four ways to get dramatically more value from Cowork starting this week.

  • Build a Prompt Library Save your best prompts in a document or folder. Over time, you’ll have a personal playbook of reliable task templates you can reuse and refine.
  • Optimise Global Instructions Add your preferences, writing style, company context, and default formats to Global Instructions. This makes every session smarter from the start.
  • Connect More Apps Each new integration multiplies Cowork’s power. After your first app, add 2–3 more: the compound effect of connected tools is dramatic.
  • Automate One Task Per Week Start small. Automate your most annoying weekly task first. Once it’s running, pick the next one. See our AI agents directory for inspiration.

Your 30-Day Cowork Plan

A structured roadmap to go from beginner to confident Cowork user in 30 days. One focus per week.

  • Week 1: Foundations Complete this guide. Run 5–10 simple tasks: summarise a doc, draft an email, organise a folder.
Goal: Get comfortable with prompting and reviewing todo lists.
  • Week 2: Skills Enable document and data skills. Create your first Word report, analyse a spreadsheet, build a slide deck.
Goal: Produce real, usable outputs — not just text responses.
  • Week 3: Integrations Connect Slack, Asana, or Google Drive. Run cross-app workflows: pull data, create docs, send notifications.
Goal: Replace at least one multi-app manual workflow.
  • Week 4: Automations Set up your first scheduled task. Monitor it for a week. Refine the prompt based on output quality. Need help? Talk to us.
Goal: Have one fully automated recurring task running hands-free.
