Every rep starts the morning with customers to call, checked and ready.

## At a glance

- **Built for:** Sales teams that phone their existing customers
- **Each morning:** One short email per rep with up to 3 customers to call
- **On each card:** A checked direct number, sourced CRM facts and your script
- **Who decides:** Fixed rules your business agrees, the same way every time
- **The calls:** Made by your reps; it never contacts a customer
- **Sending:** Practice runs first, then only your own reps, before your cut-off

## What Call Brief Assistant does

- **Picks existing customers by your rules:** Works through your own lists, tiers and cool-down in a fixed order to choose up to 3 customers per rep. It never adds, drops or swaps a name on its own judgement.
- **Confirms a direct number:** Looks through the phone fields on each record and keeps a direct line. Switchboards, extensions and shared numbers are dropped, and a person with no direct line is left off.
- **Builds a card for each customer:** A few facts from your CRM with their source, your approved script and at most two short summary sentences. A sentence that uses words not found in the facts it cites is removed.
- **Emails each rep one brief:** One email per rep per working day, sent only to your own reps and never after your daily cut-off. Practice runs keep every draft private until you switch to live.
- **Records replies and answers questions:** Reps reply with a number to turn a name down with one of your reasons or to log how the first call went. A question gets an answer drawn only from the facts on that card.
- **Reports on list quality every week:** Your operations contacts get counts of names sent, turned down and reached, with the most common reasons. If a morning brief runs late, they are told.

## How Call Brief Assistant differs from Outreach Prioritizer

Ranking leads is Outreach Prioritizer's job: it scores the leads in your CRM on your own criteria and shares a short list. Call Brief Assistant does not rank leads. It prepares calls to existing customers that your fixed rules pick, confirms a direct number for each, adds facts from your CRM with their source and your approved script word for word, and emails each rep one brief before your cut-off. Your reps make every call.

How this differs from the Outreach Prioritizer (https://myzone.ai/pages/agents/ai-lead-prioritizer-agent): To rank the leads in your CRM on your own criteria, use Outreach Prioritizer; Call Brief Assistant does not rank leads, it prepares calls to existing customers and emails each rep one brief.

## How it works

1. **Your rules pick names** (Each working morning): Your lists, tiers and cool-down choose up to 3 existing customers for each rep.
2. **Numbers and facts checked** (Before the brief is written): A direct line is confirmed and facts are gathered from your CRM, each with its source.
3. **One email per rep** (Before your daily cut-off): Before your cut-off, each rep gets the names, facts, your script and two reply links.
4. **Your rep makes the call** (you approve) (Whenever your rep chooses): Reps choose whether and when to dial. It never contacts a customer itself.
5. **Replies recorded** (When a rep replies): A reply turns a name down or logs the first call, and the next morning's list respects it.

## When to use it

- **Reps start the day unsure which customer to phone:** A short list of existing customers is waiting in each rep's inbox, with a direct number for every name.
- **The same customer keeps getting called:** Your cool-down covers every brief and every reply, so a customer waits out the window before coming back on a list.
- **Calls drift away from the approved script:** Your script sits on every card exactly as written, chosen by call type the same way each time.
- **You are unsure which lists are worth calling:** The weekly report shows in counts how many names from each list were turned down or reached, and why.

## What you get

- One morning email per rep with up to 3 existing customers to call
- A checked direct number, sourced CRM facts and your script on each card
- Two reply links per card to turn a name down or log the first call
- A record of every brief and reply that keeps your cool-down window
- A weekly list-quality report and a late-brief alert for your operations contacts

## Example: a rep's morning call brief and the weekly list report

Example with a fictional company. Names, people and figures are invented to show the agent's output. Any resemblance to a real company or person is unintended.

What it was asked: Show me Friday's brief for Jordan, how this morning's names were picked, this week's replies and last week's list report.

This is an illustrative example of what Call Brief Assistant is being built to produce, written by hand from the agent's design for an invented packaging supplier with invented customers and figures. Phone numbers use the 555-01xx range reserved for fiction. No real systems or people were involved, and no email was sent. Run date: 6 November 2026.

### What it found

- Jordan's Friday brief went out at 7:42, before the 8:30 cut-off: three customers, each with a checked direct line, sourced facts and the approved script.
- Of 486 customers on the call lists, 110 were removed by the cool-down, number and hold rules; 11 were sent across four reps, and one short list was not padded.
- Last week 54 names went out: 12 turned down, 17 reached and 2 wrong numbers flagged as record problems, reported in counts with no customer names.

## Guardrails

- Your Ai1 team will tell you when Call Brief Assistant is ready for your account.
- It prepares calls and never makes them. It never contacts a customer; your reps decide who to dial and when.
- Practice runs come first: drafts stay private and no email reaches a rep until your business is switched to live. After that it emails only your own reps, one brief each per day, never after your cut-off.
- Who is called, which number and which script are set by fixed rules your business agrees. Your Ai1 team changes them only on your written approval, and a reply email cannot change them.
- Customer details stay private, and reports use counts, not names. Logins are added by your team through a secure form, never in chat.

## Frequently asked questions

### How should reps prepare to call existing customers?

Start each call from a short list picked by fixed rules, a direct number that has been checked, a few facts from your own records with their source, and your approved script. Call Brief Assistant puts that in one morning email per rep, and your reps make every call.

### Why should a call list carry only direct phone numbers?

A main company number or an extension usually reaches a switchboard or the wrong person, and a number shared by two people leaves it unclear who answered. Call Brief Assistant keeps a checked direct line on each card and leaves a customer off the list when no direct line is found.

### What does AI sales call prep include?

Call Brief Assistant gets each rep ready to phone existing customers: up to 3 names each working morning, each with a checked direct number, facts from your CRM with the source shown and your approved script word for word. Your reps make the calls.

### How is Call Brief Assistant different from Outreach Prioritizer?

Ranking leads is Outreach Prioritizer's job: it scores the contacts in your CRM on your own criteria. Call Brief Assistant does not rank leads. It prepares calls to existing customers that your rules pick, checks each number and emails every rep one brief.

### Who decides which customers each rep calls?

Your rules do. Your lists, tiers and cool-down pick the names in the same order every time, and it never adds, drops or swaps one on its own judgement. Its only writing is up to two short summary sentences per customer, each tied to facts on the card.

### Will my reps get email as soon as it is set up?

No. It starts with practice runs: drafts are kept privately and no email reaches a rep. Email starts only once your business is switched to live after the practice results are reviewed, and then only to your own reps, before your daily cut-off.

### Is Call Brief Assistant available now?

Not yet. Your Ai1 team will tell you when Call Brief Assistant is ready for your account. You can talk to us today about how your reps prepare their customer calls now.
